Rēķinu Kontrole

How to validate an e-rēķins online for free

Before a structured e-rēķins is sent to a counterparty or submitted to the State Revenue Service, it's worth making sure the XML file passes EN 16931 and PEPPOL BIS Billing 3.0 validation.

You can do that online — for free, with no registration.

Step 1 — prepare the e-rēķins XML file

The check requires a structured e-rēķins XML file, not a PDF document or a scanned invoice.

Such an XML file is usually generated by accounting software, an ERP system, or an e-invoicing tool. It can typically be exported or downloaded from the specific invoice's record in the system.

Step 2 — upload the XML file to the validator

Open the e-invoice validator and upload the XML file.

The validator automatically checks:

  • whether the e-rēķins meets the EN 16931 requirements;
  • whether the XML structure meets the PEPPOL BIS Billing 3.0 rules;
  • whether the mandatory fields are filled in;
  • whether the invoice amounts, the VAT breakdown, and the totals are consistent with each other.

After the check, the validator shows the result: either the invoice passes validation, or it has errors that need fixing.

Step 3 — read the validation error explanation

If the e-rēķins fails validation, the validator shows an error code, for example BR-CO-10, BR-06, or BR-S-09.

Each error code comes with an explanation: what the rule means, which part of the invoice is inconsistent, and what to pay attention to when fixing the XML file or the data in your accounting software.

The explanation is available in Latvian, Russian, or English. For more detail on the most typical codes, read the article on EN 16931 validation errors.

Step 4 — fix the data and check again

If the validator points to an error, the fix usually needs to be made in the accounting software or system that generates the XML file.

After fixing it, prepare a new XML file and check it again. Repeat the process until the e-rēķins fully passes validation.

When a one-off check isn't enough

The public validator is well suited for a quick e-rēķins check — especially when you just need to check a single XML file or figure out the reason for a specific validation error.

If you serve several clients and want to keep validated invoices in one place, the accountant's dashboard with sign-in is the more convenient option. There, invoices can be organized by client and a validation history is kept.

Frequently asked questions

How do I validate an e-rēķins for free?

Upload the e-rēķins XML file to the online validator. It checks the file against the EN 16931 and PEPPOL BIS Billing 3.0 rules and shows the validation result. No registration is required.

What file do I need for the check?

You need a structured e-rēķins XML file. A PDF document or a scanned invoice won't work for this kind of validation, because it isn't a structured e-rēķins.

Does the validator save my invoice?

The public check is meant for a quick validation without storing invoices. If you need to keep invoices, organize them by client, and view a validation history, that's what the accountant's dashboard with sign-in is for.

What if the e-rēķins fails validation?

Read the validation error code and its explanation, fix the data in your accounting software or e-invoicing tool, then generate a new XML file and check it again.
